Role Overview
This full-time Executive Assistant position, based in Singapore, operates on a hybrid work setup combining both on-site and remote work. The incumbent will be responsible for comprehensive executive and administrative support, handling calendar management, meeting coordination, event organization, and report preparation. Key tasks include document management, preparing presentations and correspondence, facilitating the planning of mental health-related talks and workshops, and ensuring seamless communication among internal teams and external partners.
The role demands maintaining confidential records, monitoring deadlines and follow-ups, and proactively anticipating leadership needs to aid smooth organizational operations and decision-making.
Key Qualifications
- Proven expertise in executive assistance, including calendar and meeting management, travel coordination, and handling sensitive information confidentially.
- Strong administrative capabilities involving document handling, scheduling, office coordination, and record maintenance.
- Experience with expense report preparation and basic financial or budget-related administrative duties.
- Excellent verbal and written communication skills for stakeholder interaction and internal correspondence.
- Background as an Executive Assistant, Personal Assistant, or administrative professional, preferably within mission-driven or professional services contexts.
- Exceptional organizational skills with keen attention to detail, able to juggle multiple priorities and meet deadlines in a dynamic environment.
- High integrity and professionalism in managing confidential matters.
- Competency in office productivity software, including word processors, spreadsheets, presentation tools, and calendar/collaboration platforms.
- Preferred diploma or degree in Business Administration, Management, or related fields, or equivalent practical experience.
- An interest in mental health, well-being, or social impact sectors is advantageous.
