Role overview
This position supports senior leadership by handling a wide range of executive and administrative duties. The role focuses on keeping schedules, correspondence, meetings, and reporting organized, while maintaining a high level of discretion, professionalism, and efficiency.
Core responsibilities
- Keep the Chief Officer’s calendar up to date, arrange meetings, and coordinate travel logistics.
- Prepare agendas, briefing packs, presentation materials, and report documents for meetings and business discussions.
- Serve as the primary contact for both internal teams and external stakeholders.
- Review incoming emails, calls, and messages, then prioritize and manage them appropriately.
- Draft, revise, and proofread official correspondence on behalf of the Chief Officer.
- Maintain secure and well-organized confidential records and files.
- Assist with the coordination and execution of departmental events and stakeholder engagements.
- Track action points, deadlines, and follow-ups to ensure timely completion.
- Support special assignments through research and data gathering.
- Facilitate communication and coordination across departments.
Governance, reporting, and process compliance
- Follow company policies, procedures, systems, controls, and delegated authority requirements while delivering consistent and cost-effective support.
- Ensure reports are prepared accurately and submitted within the required timelines, following internal standards.
- Contribute to periodic management reporting and progress updates that help senior leadership monitor initiatives and make decisions.
- Meet organizational reporting and compliance expectations promptly.
HSE, security, and risk obligations
- Follow all health, safety, security, and risk management rules and procedures issued by the company.
- Take reasonable care of your own health, safety, and security at work.
- Protect the health, safety, and security of others who may be affected by your actions or omissions.
- Cooperate with instructions and measures introduced by the employer to meet HSE and security requirements.
- Escalate any hazard, concern, or risk you cannot resolve to your immediate manager.
- Report all HSE/security incidents and any work-related injuries.
- Do not deliberately or carelessly tamper with or misuse workplace safety, security, or welfare provisions.
Required background
Candidates should have a professional certification in Business Administration or a related field, along with at least 6 years of relevant work experience. Strong analytical ability, presentation skills, and communication skills are essential. The role requires an Arabic speaker with a high level of English proficiency.
Preferred background
A bachelor’s degree or an equivalent professional certification in Business Administration or a related field is preferred, together with 9 years of relevant experience.
