About the Role
Our client, a reputable university in New York City, is looking for a dedicated Event Coordinator to manage and execute various event functions on site.
Responsibilities
- Organize comprehensive event logistics, including securing venues, managing vendors, negotiating contracts, setting up, and overseeing events onsite.
- Deliver exceptional hospitality and onsite support to ensure smooth event operations.
- Create event themes, concepts, and service strategies; coordinate with vendors providing rentals, catering, floral arrangements, audiovisual equipment, and other relevant services.
- Keep track of event supplies and inventory, coordinate deliveries, staffing, and logistical arrangements within event facilities.
- Produce and modify all related event materials such as written communication, website content, invitations, and marketing collateral.
- Administer event registration platforms including Cvent, Mailchimp, Social Tables, and manage event-related email accounts, mailing lists, and communication channels.
- Offer excellent customer support by handling registration processes, addressing inquiries, and assisting event attendees.
- Monitor and report on event budgets, expenses, analytics, attendance, and deliver post-event evaluations to promote ongoing improvements.
- Assist leadership with special projects and additional event or administrative tasks as required.
Qualifications
- Bachelor's degree or equivalent professional experience is required.
- Previous experience in event planning or event production preferred.
- Strong skills in communication, organization, customer service, and interpersonal interaction.
- Exceptional attention to detail with the capability to juggle multiple responsibilities in a dynamic, high-paced setting.
- Professional demeanor with the ability to handle confidential information discreetly and resolve issues efficiently.
- Familiarity with event management software such as Cvent, Mailchimp, or Social Tables is advantageous.
- Flexibility to work occasional evenings and weekends when necessary.
