Role Summary
The Document Controller position involves organizing, managing, and maintaining project-related documentation to ensure compliance with quality standards and efficient access for teams. This role supports project managers and directors by handling documentation workflows and office administration tasks.
Key Responsibilities
- Create and maintain a detailed and accessible library of reference documents according to company standards.
- Organize and correlate project and proposal information accurately.
- Prepare, distribute, and file project correspondence and meeting minutes in collaboration with project managers and directors.
- Compile operations manuals and job data books, including indexing, organizing, timely printing, and assembly.
- Manage document cataloguing, packaging, and arrange for long-term storage or disposal following project completion.
- Generate transmittals for engineering documents and requisitions.
- Keep computerized indexes up to date for active engineering documents and generate reports as needed.
- Maintain data distribution systems and schedules aligned with client, project, and supplier requirements.
- Assist with general office administrative duties such as maintenance requests and material procurement.
Qualifications and Experience
- A degree is preferred but not mandatory; relevant certifications in document control are advantageous.
- At least 5 years of experience in a similar capacity, ideally within construction supervision or engineering design consultancy sectors.
- Demonstrated expertise in using Aconex for large-scale building or commercial projects is essential.
