Position Overview

This role is responsible for the coordination and management of contracts across the county, ensuring effective oversight and administration of multi-department agreements.

Key Responsibilities

  • Maintain and monitor county-wide multi-department contracts including documentation and database records.
  • Coordinate with various county departments regarding database usage and contract functionalities.
  • Serve as the primary contract representative for relevant agreements and preserve past contracts for reuse.
  • Track contract statuses including expiration, termination, renewal, bonding, and insurance compliance.
  • Research materials, equipment, and services related to contracts; recommend improvements to current contracts and procurement strategies.
  • Manage agenda items for new and renewal contracts, ensuring all documents are correctly input into the contract database.
  • Review and assist departments with self-audits on contracts, collaborating with the Internal Audit Department for process audits.
  • Develop and deliver training programs focused on contract implementation, administration, maintenance, and database usage.
  • Administer the contract management database by creating queries and reports, analyzing system functions, and identifying areas for system enhancements.
  • Perform other duties as assigned.

Qualifications and Requirements

  • Bachelor’s degree in Business Administration, Accounting, Public Administration, Contracts, or a related field.
  • At least three years of experience in public purchasing, contracts, or financial management within a public sector entity, or an equivalent combination of education and experience.
  • Possession of a valid driver’s license is mandatory.
  • Ability to perform light physical tasks including lifting or carrying objects weighing 5-10 pounds, with extended keyboard or workstation use.
  • Capability to discern colors and sounds and communicate effectively orally.
  • Work is generally performed in an environment free from adverse conditions except for surplus property tasks.
