Job Purpose
This role ensures thorough management and upkeep of all operating documents for plant activities, safeguarding their precision, security, and availability. It demands collaboration with diverse departments to update, disseminate, and audit documentation, alongside administering management information systems and maintaining compliance with quality and project standards.
Key Responsibilities
- Lead the Document Collection Centre (DCC) operations.
- Oversee and validate documentation for station operations, maintenance, and overhaul procedures to assure completeness and alignment with specified quality benchmarks.
- Develop and sustain a Management Information System (MIS) dedicated to tracking documentation status and generating reports.
- Coordinate printing logistics for critical documents such as operational manuals and schematics.
- Conduct regular updates, printing, and archiving of laboratory log sheets and historic records, assuring data integrity and compliance with document retention policies.
- Assess new maintenance drawing proposals, guarantee correctness of modifications, and facilitate document sharing with maintenance teams.
- Collaborate with departments to update documentation per Management of Change (MoC) protocols and communicate revisions clearly.
- Serve as the central communication point for resolving document issues among project teams, contractors, and external stakeholders.
- Manage the flow of documents between stakeholders and regularly update management on documentation progress.
- Adhere to standards derived from IMS, AWMS, DISHA, and CHETNA frameworks to promote compliance culture within the unit.
- Ensure all documentation aligns with regulatory, environmental, and safety standards.
- Stay current on relevant legal and compliance issues affecting documentation practices.
- Drive digitization and automation initiatives to improve document handling efficiency.
- Identify and implement technological improvements to reduce manual workload and enhance precision.
- Oversee rollout of new software solutions aimed at boosting operational effectiveness.

Qualifications and Experience
- Bachelor's degree preferably in Library Science, Document Control, or Technical Documentation.
- Over 5 years of experience in document control or information management, ideally within engineering, manufacturing, or energy sectors.
- Preferred experience in power generation, manufacturing, or construction industries, particularly focused on document management systems.
