Overview
The Admissions and Recruitment Specialist will play a pivotal role within the Department of Physical Therapy and Rehabilitation Science's academic programs, including the DPT program (150 students), PhD in Rehabilitation Science (admitting two students biennially), and multiple residency programs (acute care, orthopedic, neurologic, women's health). This position entails the strategic planning, development, and implementation of admissions and recruitment initiatives, emphasizing equal opportunity and compliance with non-discrimination policies. Collaboration with the Learner Recruitment and Admissions Committee is essential to successfully fulfill these duties.
Key Duties and Responsibilities
- Manage the full spectrum of admissions activities for DPT, PhD, and residency programs, including assessing academic readiness, evaluating complex applications, and reviewing transcripts from domestic and international candidates.
- Utilize various admissions platforms such as PTCAS, RF-PTCAS, and Slate to facilitate applicant communications, screen applications, and track progress through the admissions pipeline.
- Organize applicant interviews by conducting interviewer training, scheduling multiple overlapping interviews, overseeing logistical arrangements, coordinating event-day activities, and managing communications with applicants, volunteers, and interviewers.
- Communicate admissions decisions, track admitted students’ statuses, and report matriculation to relevant university divisions.
- Plan and execute recruitment and outreach initiatives, including anti-discrimination events, mentoring, webinars, conferences, and university collaboration projects, while forging and maintaining partnerships with schools, universities, and community organizations.
- Provide comprehensive information to prospective students about admissions criteria, prerequisite courses, financial aid, programs, curricula, and career pathways.
- Produce special and annual reports analyzing recruitment efforts, admissions data, application processes, and applicant demographics to guide leadership and committee decisions.
- Ensure all admissions and recruitment procedures comply with institutional, state, and national policies.
- Represent the department at various institutional and professional meetings related to admissions and recruitment practices.
Qualifications
- Bachelor's degree in a related field with at least three years of relevant experience or equivalent training.
- 2-3 years’ experience specifically within higher education admissions.
- Experience working with diverse student populations and familiarity with evaluation of academic credentials.
- Strong knowledge of university policies and the ability to communicate these effectively to potential students and the community.
- Proficient with Microsoft Office Suite and able to adapt quickly to new computer software and technologies.
- Excellent problem-solving abilities, sound judgment, decision-making skills, and the capability to identify system performance measures and recommend improvements.
- Demonstrated interpersonal skills and the ability to collaborate with various stakeholders.
Preferred qualifications include:
- Master’s degree in Higher Education, Student Affairs Administration, Counseling, or a closely related discipline.
- 2-3 years of experience in university-level admissions and student affairs management.
- Detailed understanding of academic programs, curricula, admissions requirements, and financial aid programs, especially within the University of California system.
- Familiarity with university-specific software applications and risk assessment principles.
- Ability to design and implement recruitment programs effectively.
