Role Summary
The Administrative Assistant IV position offers high-level administrative support to senior leadership within a global enterprise sales division. Responsibilities include managing complex executive schedules, coordinating domestic and international travel, handling expense reports, organizing meetings and corporate events, and ensuring efficient daily operations in a dynamic, technology-driven environment. This role primarily operates remotely from Bellevue, Washington.
Key Responsibilities
- Oversee intricate calendars of senior executives across multiple time zones, resolving conflicts and aligning schedules with organizational priorities.
- Arrange and modify business travel arrangements, including flights, accommodations, ground transportation, visa documentation, and quickly adapt plans as needed.
- Manage executive expense reporting, including reviewing and submitting reports and verifying invoices and financial documents.
- Provide comprehensive administrative support, maintain confidential business records, manage correspondence, order supplies, and handle bookkeeping tasks with professionalism.
- Coordinate meeting logistics: prepare agendas and materials, schedule virtual and in-person meetings, manage room setups, and oversee off-site meeting/event planning including catering services.
- Collaborate across global teams to support sales leadership initiatives, communicate effectively with executives and stakeholders, assist in business administrative projects, manage multiple priorities, and contribute to continuous operational improvements.
Required Qualifications
- High school diploma or GED equivalent.
- Between 8 and 10 years of administrative or executive support experience, particularly supporting senior executives.
- Strong expertise in calendar management and expense reporting.
- Proficiency in Microsoft Word, Excel (advanced skills including VLOOKUPs and Pivot Tables), and PowerPoint.
- Excellent written and verbal communication abilities, exceptional organizational skills, and meticulous attention to detail.
- Capability to work autonomously, handle competing priorities, solve problems efficiently, and maintain strict confidentiality handling sensitive information.
Preferred Qualifications
- Experience supporting enterprise-level leadership, including Microsoft executives.
- Familiarity with Microsoft internal tools and business practices.
- Background in planning corporate events and off-site meetings.
- Experience in large enterprise or technology companies.
