Role overview
Bulyanhulu Gold Mine is hiring an Administration Officer to support day-to-day administration, travel coordination, transport arrangements, and office operations. The position is focused on keeping business support services running smoothly and professionally across the organization.
The role plays a key part in organizing movement and travel for mine staff, contractors, and regional teams across Bulyanhulu, North Mara, and Buzwagi, while also ensuring that country office facilities, safety standards, and administrative processes are handled in line with company expectations and operational needs.
Successful candidates will be expected to reflect the organization’s values, including honesty, integrity, accountability, responsibility, sustainability, safety, partnership, and results-oriented work.
Key responsibilities
- Support a strong safety mindset aligned with the organization’s zero-harm approach.
- Receive travel requests and verify the purpose, travel dates, and required approvals.
- Guide employees on travel choices, routes, and cost-saving options.
- Make sure all bookings follow the organization’s travel rules and procedures.
- Prepare daily travel schedules in a timely manner, covering flights, lodging, and ground transport.
- Arrange and confirm airline, rail, hotel, and airport transfer bookings.
- Work with travel agencies, airlines, hotels, and transport suppliers, while also overseeing drivers to ensure travel plans are delivered smoothly.
- Prepare transfer schedules for hotels, airports, and operational locations at least one day ahead and circulate them to drivers, providers, and team members.
- Monitor ticketing deadlines, fare updates, and cancellations, and keep travelers informed.
- Maintain accurate travel logs, itinerary records, and staff movement registers.
- Prepare charter flight passenger manifests and coordinate related logistics, including changes to charter and commercial flight schedules.
- Track travel advisories and notify staff about possible restrictions or risks.
- Assist with event logistics such as venue arrangements, catering, and participant travel.
- Monitor employee movement during travel for safety purposes, especially for field assignments.
- Coordinate travel for recruitment, training, workshops, and conferences.
- Provide administrative support to mine sites and the regional executive team.
- Oversee office standards, including cleanliness, facilities, supplies, and access control.
- Ensure health, safety, and compliance requirements for the office are upheld.
- Check and replenish office first aid kits to keep supplies available at all times.
- Arrange boardroom reservations, meeting setups, refreshments, and visitor assistance.
- Supervise reception and security personnel and manage office access for visitors from mine sites, regional executives, and external stakeholders.
- Keep filing systems and office records organized in both digital and paper formats.
- Carry out any other administrative duties assigned by the supervisor.
Qualifications and experience
- A diploma in Business Administration, Office Administration, Travel and Tourism, Logistics, or a related discipline is required.
- Strong working knowledge of Microsoft Office applications, especially Word, Excel, and PowerPoint, is necessary.
- At least two years of experience in administration, travel or transportation coordination, and office administration support is required.
- The role calls for strong work ethics and a clear commitment to safety.
- The successful applicant must be able to work independently with minimal supervision.
- Practical IT skills are required.
- Strong oral communication in both Kiswahili and English is expected.
- Excellent written communication in Kiswahili and English is also required.

About Bulyanhulu
Bulyanhulu is located in north-west Tanzania in the Kahama district of the Shinyanga region, about 55 kilometres south of Lake Victoria and 150 kilometres south-west of Mwanza. It is a narrow-vein gold mine with gold, silver, and copper mineralization in sulphides, associated with several steeply dipping veins. Commercial production began in 2001.
