Role Overview
This role involves supporting drydock operations, managing budgets, monitoring vessel operating expenditure, overseeing asset compliance, and providing general administrative assistance to the technical team at an offshore services company located in Eastern Saudi Arabia.
Primary Responsibilities
- Assist the Technical Superintendent in preparing Authorisation for Expenditure aligned with the Work Breakdown Structure, ensuring comprehensive coverage of the scope.
- Collaborate with accounts payable and vendors to coordinate advance and milestone payments.
- Plan and monitor all spare parts and equipment necessary for drydock activities.
- Keep the Shipment Monitoring Form current and accurate.
- Verify manhours and timesheets submitted by service engineers, coordinating documentation for accuracy.
- Monitor variation orders from the shipyard and communicate updates to the cost control team.
- Support closure of open purchase orders raised by the Technical Executive.
- Escalate any outstanding drydock tasks, delays, or issues to the Technical Superintendent promptly.
- Maintain thorough drydock records and ensure all documentation is stored correctly within the SharePoint system for review and future reference.
- Compile recurring subscription fees from SAP and ANS NS systems, submitting consolidated lists to the Technical Manager.
- Assist in analyzing vessel operating expenditure (VOE) trends and variances; participate in monthly accrual reviews.
- Update and maintain vessel trading certificates and manage the renewal process for critical certificates such as bunker convention, ship station license, and wreck removal certificates.
- Extract and distribute ABS NS reports, highlighting significant issues to relevant technical leads.
- Generate monthly vessel compliance status reports.
- Support documentation efforts related to insurance claims and monitor quarterly class status reports, ensuring appropriate dissemination.
- Track vessel offloads of lube oil, fuel oil, and water samples for shore laboratory testing.
- Prepare purchase orders for technical expenditures and provide administrative assistance, including expediting essential part deliveries, managing urgent purchases, and arranging travel.
- Process non-purchase order transactions through Esker and conduct inventory reconciliation counts.
