Role Overview
FAMCO seeks a meticulous and proactive Service Administrator to manage key administrative duties within the Service Department. This position is instrumental in enhancing operational performance by ensuring precise KPI reporting, assisting with technical training programs, overseeing service contracts, managing procurement activities, and maintaining workshop assets and specialized tools.
Key Responsibilities
- Deliver prompt and accurate service KPI reports including metrics on technician productivity and utilization.
- Assist in organizing Technical Training activities through effective administration, coordination with delegates, follow-up, and communication with stakeholders.
- Manage procurement for tools, equipment, and special service equipment by evaluating suppliers, sourcing products, and negotiating contracts.
- Collaborate with principals, Warranty, Contracts, and Service teams to offer operational support and provide technical insights.
- Oversee preparation and maintenance of workshop assets ensuring proper upkeep, calibration, timely replacement, and adherence to company standards.
- Administer service operations like invoicing, monitoring receivables, and tracking Work-in-Progress (WIP).
- Support Warranty and Contract departments administratively and operationally.
- Handle service contracts including preparing proposals, issuing and renewing contracts, managing closures, monthly invoicing, and customer reporting.
- Ensure all service activities comply with ISO standards related to quality, safety, and environmental regulations.
- Participate in continuous improvement initiatives aimed at boosting workshop efficiency and productivity.
Skills and Experience
- Excellent analytical, organizational, and problem-solving capabilities.
- Strong communication skills and the ability to manage various stakeholder relationships effectively.
- High proficiency in Microsoft Office, especially Excel and reporting tools.
- Experience in KPI monitoring, data analysis, and preparing management reports.
- Knowledgeable about procurement procedures, supplier management, and contractual negotiations.
- Ability to balance multiple priorities with accuracy and attention to detail.
- Solid understanding of service operations within automotive workshop environments and customer service principles.
Qualifications
- Diploma or Bachelor's Degree in Automobile Engineering, Mechanical Engineering, or a closely related technical field.
- At least 5 years of experience in automotive, engineering, or retail distribution sectors.
- Familiarity with manufacturer standards, quality systems, and service program protocols.
- Proficient in collecting workshop data, analyzing performance indicators, and preparing detailed KPI reports.
- Experience supporting service operations, technical training, warranty processes, or contract management.
- Commercial insight with experience in procurement, supplier relations, and asset management.
