Their portfolio extends to food festivals, nonprofit galas, and media events supporting prominent arts and cultural organizations in Manhattan.
Role Summary
We are seeking a part-time Freelance Project Manager for Event Marketing and Communications to join our dynamic and strategic team. This position involves working closely with clients to oversee marketing, press, and communications efforts across digital and print media, ensuring seamless coordination and timely completion of all collateral and asset creation.
Responsibilities
- Serve as the key liaison for the James Beard Foundation Awards, Taste America, and Gala accounts, coordinating with multiple departments such as graphic design, marketing, public relations, sponsorship, and events.
- Attend regular meetings with clients and internal teams to align on project progress and deliverables.
- Manage and maintain detailed timelines for event collateral production, ensuring all deadlines and deliverables are met efficiently.
- Create and update checklists for required printed and digital materials.
- Coordinate day-to-day workflows using project management software (Monday.com) for collateral creation and approvals.
- Oversee communications among internal and external stakeholders – including graphic designers, client project managers, marketing teams, and company leadership – to facilitate content gathering, revisions, approvals, and printing processes.
- Keep all relevant internal parties informed about upcoming deadlines and potential issues, proactively addressing problems and notifying leadership as necessary.
- Evaluate the effectiveness of collateral materials and workflows, recommending improvements to increase efficiency.
- Prepare meeting agendas and provide detailed status updates during internal and client meetings.
- Support the development of sponsorship sales materials such as decks, sales sheets, and wrap reports by customizing existing templates.
- Assist in creating business proposals and sales presentations.
- Help manage promotional email campaigns and maintain updates for the company website and social media channels as required.
Requirements
- Excellent organizational abilities with meticulous attention to detail.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office suite (Word, Outlook, Excel, PowerPoint).
- Technology savvy with experience or aptitude for project management tools such as Monday.com.
- Creative problem-solving skills and ability to multitask in a fast-paced environment.
- Dependability in meeting deadlines and representing the Bowen & Co. Events brand professionally.
Compensation and Terms
This part-time, at-will position offers a flexible remote working option or the possibility of onsite work at the office. The role requires an average commitment of 15-20 hours weekly, with agreed-upon office hours within normal business times (Monday through Friday, 9 AM to 6 PM).
The starting annual salary is $40,000, commensurate with experience, with bi-weekly payroll processing. Overtime pay complies with federal and state laws. Benefits include 5 days (40 hours) of paid time off per year and eligibility for participation in the company 401(k) plan after one year of employment.
