About the Role
We are seeking a highly organized and proactive Personal Assistant to support the Managing Director in all administrative and executive functions. This role involves managing schedules, coordinating communications, handling official correspondence, and assisting with operational and executive tasks to ensure smooth day-to-day activities.
Key Responsibilities
- Efficiently manage the Managing Director's calendar including appointments, meetings, and schedules.
- Coordinate and follow up on meetings, tasks, and critical commitments.
- Handle official communications including emails, phone calls, and other correspondence on behalf of the Managing Director.
- Prepare and maintain reports, presentations, documents, and management information systems as required.
- Liaise effectively with internal departments, clients, vendors, and stakeholders to ensure seamless coordination.
- Ensure timely follow-up on pending tasks and action items from meetings.
- Arrange and organize meetings, conferences, travel plans, and other official engagements.
- Maintain important records, confidential documents, and sensitive information with utmost discretion.
- Assist in preparing meeting agendas, minutes, and follow-up reports.
- Manage multiple priorities simultaneously and complete assigned tasks promptly.
- Perform any additional executive and administrative duties as directed by the Managing Director.
Required Skills and Qualifications
- Strong verbal and written communication capabilities.
- Excellent coordination and follow-up skills.
- Proficient in Microsoft Office suite including Word, Excel, PowerPoint, and Outlook.
- Exceptional organizational skills and time management ability.
- Demonstrated ability to maintain confidentiality and exhibit professionalism.
- Excellent interpersonal skills with the ability to manage professional relationships effectively.
- Comfortable working under pressure and handling multiple priorities.
- Smart, well-presented, responsible, and proactive with a professional demeanor.
- Experienced in coordinating with senior management and external stakeholders.
Candidate Profile
- 3 to 7 years of relevant experience as a Personal Assistant, Executive Assistant, Management Assistant, or in a similar capacity.
- Graduate from an accredited university; postgraduate diploma (PGDM) is preferred.
- Male candidates are preferred.
- Experience supporting executives at the MD, Director, CEO, or Promoter level will be advantageous.
