Role summary

The Payroll Administrator is accountable for running payroll accurately and on time for employees within scope. This position keeps payroll compliant with all required statutory rules, maintains detailed payroll records, and responds to employee questions related to pay. The role partners closely with HR, Financial Operations, and FP&A to keep payroll activities efficient, precise, and compliant. It also covers full payroll-cycle ownership, correction of payroll errors, and support for provincial and federal legislative compliance across finance and human resources functions.

This is a hybrid position, with work performed in the office at least three days per week, or more when business needs or management require it. Candidates who can work from Courtney, Vancouver, Victoria, or Kelowna will be preferred.

Payroll processing and administration

  • Run semi-monthly payroll for both salaried and hourly staff using payroll software.
  • Support semi-monthly pay runs that include regular earnings, additional pay cycles, bonuses, corrections, and special payments.
  • Check that wages, benefits, bonuses, expense reimbursements, vacation pay, statutory holiday pay, and deductions are calculated and processed correctly.
  • Review payroll inputs carefully before each payroll run to confirm accuracy.
  • Keep employee payroll files current, including personal details, tax documents, employment status changes, benefit enrollments, RRSP enrollments, new hires, terminations, and leaves.
  • Reconcile payroll-related accounts such as benefits, taxes, deductions, and other related balances.
  • Store payroll records accurately, securely, and in line with company policy and regulatory obligations.

  • Investigate payroll variances and resolve them promptly and accurately.
  • Work with supervisors and department leaders to sort out payroll, timekeeping, and attendance issues.
  • Serve as a contact point for payroll questions from employees and managers, providing clear and professional responses.

  • Stay current on payroll legislation, tax requirements, regulations, and industry practices.
  • Support payroll projects, payroll system upgrades, testing, and process-improvement initiatives.
  • Take part in training and professional development to expand payroll knowledge and capability.

Reporting and documentation

  • Help prepare payroll reports and backup documents for internal and external audits.
  • Assist with audit requests by supplying accurate records, reports, and supporting materials.
  • Prepare, review, and administer payroll documents and filings such as Records of Employment (ROEs), T4s, T2200s, WorkSafeBC reporting, year-end reconciliations, and other statutory submissions.
  • Keep payroll documentation orderly and complete to support compliance and audit readiness.
  • Produce payroll reports for management, regulators, and other stakeholders as needed.
