Role Overview
We are seeking an experienced Office Manager and Executive Assistant to support the Partner & Operations Director at Camino Partners Ltd. This role operates on a hybrid schedule with Monday through Thursday onsite in London and Fridays working from home, offering a salary range of 35,000 to 40,000 annually.
Office Management Duties
- Collaborate with the building manager to oversee the management and upkeep of the office and associated facilities.
- Regularly report issues concerning office appliances or maintenance and participate in monthly meetings with building management.
- Maintain the office floor's tidiness, including desk organization, cable management, and communal areas.
- Manage inventory and stock levels to ensure the office is continually well-supplied.
- Coordinate office relocations or reconfigurations involving furniture placement.
- Procure company gifts, stationery, and necessary office supplies.
- Oversee health and safety protocols including being Fire Marshall and First Aid responsible, maintaining supplies and emergency procedures.
- Handle incoming and outgoing mail, including courier arrangements.
- Keep an up-to-date asset register at all times.
Executive Assistant Responsibilities
- Oversee complex and multi-time-zone calendar schedules for the Founder, CEO, and Board members, managing conflicts and prioritizing appointments.
- Arrange internal and external meetings, preparing agendas, materials, and booking meeting rooms efficiently.
- Organize domestic and international travel logistics including trains, flights, accommodation, and visa processes.
- Prepare meeting documentation such as board papers and reports when needed.
- Manage expense tracking by uploading receipts and relevant information.
- Monitor deadlines and follow up on important action points to ensure commitments are met.
Event Management
- Lead planning and execution of internal and external events including performance updates, client roundtables, networking, and social events.
- Manage event logistics such as venue arrangement, supplier coordination, catering, room setup, materials, and audiovisual requirements.
- Serve as the main liaison for stakeholders, collaborating closely with Sales, Finance, and Marketing teams for a seamless event experience.
- Assist with the preparation and aggregation of presentations, updates, and communications related to events.
- Ensure professional and well-organized event delivery on the event day for all attendees and stakeholders.
Required Skills and Experience
- Exceptional organizational capabilities and the aptitude to juggle multiple tasks simultaneously.
- Excellent interpersonal skills and confidence engaging with all company levels and external partners.
- Detail-oriented with a proactive, solution-driven approach.
- Ability to operate independently, use initiative, and keep composed under pressure in a dynamic environment.
- Strong aptitude for event coordination, logistics, diary management, and administrative accuracy.
- Professional demeanor, approachable nature, adaptable, and a positive team player.
- Advanced proficiency in Microsoft Office Suite, including Outlook, PowerPoint, Excel, and Teams.
- Prior experience in office coordination, executive assistance, event management, or operational roles desirable.
- Discretion and professionalism when managing confidential information.
- Candidates with recruitment experience or agency background will be given preference.
