Role Overview
The HR Operations & Administration Executive is entrusted with managing comprehensive HR functions along with overseeing daily office operations to ensure seamless workplace management. This role involves close coordination with payroll and vendor teams, maintaining accurate employee data, and ensuring adherence to company and statutory policies.
Key Responsibilities
- Manage the full employee lifecycle including onboarding, induction, confirmation, transfers, and exit procedures.
- Maintain and update employee records, personnel files, and HR management systems precisely.
- Administer attendance tracking, leave management, and maintain essential employee documents.
- Collaborate with payroll to provide accurate inputs including attendance and leave data.
- Prepare and issue HR documents such as appointment letters, confirmations, experience certificates, and relieving letters.
- Ensure compliance with organizational HR regulations and statutory requirements.
- Respond to employee inquiries on HR operations and policy matters.
- Generate and manage HR reports and maintain the HR Management Information System (MIS).
Administrative Duties
- Supervise daily office administration to ensure smooth functioning of office activities.
- Manage office supplies including stationery and pantry requisites.
- Handle vendor relations, including obtaining quotations, managing purchase orders, verifying invoices, and coordinating with vendors.
- Coordinate services such as housekeeping, security, courier, travel arrangements, and facility upkeep.
- Monitor and document office assets, maintain the asset register.
- Arrange office maintenance, repairs, AMC schedules, and fulfill infrastructure needs.
- Promote a safe, organized, and well-maintained office environment.
- Assist in budgeting for administration and implement cost-saving strategies.
Candidate Profile
- Possess a Bachelor's degree in Human Resources, Business Administration, Commerce, or a related discipline.
- Have 7 to 8 years of professional experience in HR operations and office administration.
- Proficient in onboarding, employee lifecycle management, HR documentation, attendance and leave administration, and payroll coordination.
- Experienced with HRMS platforms and Microsoft Office suite including Excel, Word, PowerPoint, and Outlook.
- Skilled in vendor management, facility management, and asset control.
- Good knowledge of labor laws, statutory compliance, and HR policy frameworks.
- Exhibit excellent communication, interpersonal, organizational, and problem-solving abilities.
- Capable of multitasking, maintaining confidentiality, and thriving in a dynamic, fast-paced setting.
