About the Role

The Executive Assistant will be a trusted partner to the CEO, helping manage time, priorities, and day-to-day operations with efficiency and professionalism. The role also supports the broader Executive Team by handling important coordination tasks and reducing administrative workload so leaders can focus on strategic work.

This position calls for someone with extensive experience supporting senior executives, strong attention to detail, and the ability to remain calm in high-pressure situations. You should be highly skilled in Google Workspace, confident creating polished board-level presentations, and comfortable using modern tools, including AI, to improve speed and quality of output.

Key Responsibilities

  • Oversee and improve complex scheduling across the CEO and Executive Team, making sure competing priorities are handled well.
  • Arrange important meetings, board meetings, investor discussions, and external appointments with accuracy and care.
  • Prepare, refine, and polish executive messages, reports, and board-ready presentations to a very high standard.
  • Spot issues early, fix calendar clashes, and simplify processes to improve executive productivity.
  • Organise domestic and international travel as well as events, ensuring all logistics and itineraries run smoothly.
  • Use digital tools and AI-assisted workflows to speed up research, automate routine tasks, and produce strong, data-informed work.
  • Handle confidential matters with complete discretion and professionalism.
  • Support the CEO with personal as well as professional coordination needs, ensuring both are managed smoothly.

Requirements

  • At least 10 years of experience supporting C-suite leaders, with strong capability in calendar management, executive communication, and board interaction.
  • Demonstrated experience assisting CEOs and senior leaders with both professional and personal support, while maintaining care and confidentiality.
  • Experience providing coordination and operational support to executive teams.
  • Advanced ability with Google Workspace, PowerPoint, and modern productivity tools, along with practical use of AI tools to improve efficiency and output quality.
  • Excellent written and spoken communication skills, with the ability to produce concise, persuasive material for boards, investors, and external stakeholders.
  • A proactive, problem-solving approach that anticipates needs, spots opportunities for improvement, and acts without waiting to be prompted.
  • Strong resilience and adaptability, with the ability to stay composed when priorities shift quickly.
  • A collaborative and trusted working style, with sound judgment for handling sensitive information and complex situations.
