Role Overview

Modern Technology Solutions, Inc. (MTSI) is hiring an Executive Assistant to support its Defense Services Division. The role is fully remote, although there may be occasional travel requirements. The position supports senior directors and other executive leaders across multiple locations in a fast-moving environment that demands strong organization, sound judgment, flexibility, and a high level of professionalism.

Key Responsibilities

  • Coordinate and manage multiple executive calendars, balancing priorities and scheduling needs to improve executive efficiency.
  • Arrange meetings and appointments for senior leaders, working closely with internal leaders, external partners, government contacts, and other executive assistants.
  • Follow division and business unit protocol expectations and maintain proper procedures.
  • Organize and support leadership meetings in both in-person and virtual formats.
  • Set up and monitor welcome meetings and calls for new division employees and prepare relevant background details in advance.
  • Plan senior director travel, including both scheduled and unscheduled transportation arrangements, to support efficient use of time.
  • Track site visits and employee engagement activities in coordination with the Division EVP EA.
  • Handle executive communications with internal and external stakeholders.
  • Prepare and organize correspondence, presentations, documents, and spreadsheets as needed.
  • Support presentations by collecting inputs, building slides in templates, capturing notes and action items, following up on tasks, and coordinating live IT assistance when required.
  • Maintain shared online files and important records.
  • Review administrative processes and recommend improvements that reduce duplication and increase accuracy and efficiency.
  • Work closely with the Division EVP EA and provide backup support when needed.
  • Track business unit taskers, review responses, and compile submissions for Division leadership.
  • Oversee the spot bonus program at the business unit level, including drafting recognition letters for approval and submission.
  • Help organize conferences, training sessions, meetings, tours, dinners, and other events involving internal and external stakeholders.

Requirements

  • At least 20 years of experience in executive administration or executive support, including substantial exposure to military and business executive protocol.
  • Excellent written and verbal communication skills.
  • Ability to collaborate effectively while showing initiative and strong interpersonal skills.
