Position Overview
RBC's AI Group is looking for a highly organized and proactive Executive Assistant to provide support to two VPs in Toronto. This role goes beyond standard administrative tasks — serving as an essential operational partner to help leaders manage complex relationships, maintain the functionality of a rapidly expanding team, and oversee preparation and follow-up for critical executive engagements.
Key Responsibilities
- Manage intricate calendars for two VPs, coordinating meetings with senior executives (SVP+) from different RBC business lines and functions, while anticipating scheduling challenges and allowing sufficient preparation time.
- Ensure timely engagement preparation and follow-up by facilitating meetings between relevant team members and VPs before senior executive sessions; monitor and track action items post-encounter.
- Assist with team support activities including onboarding new employees, organizing performance review processes, planning team events, and upholding operational routines within the growing group.
- Collaborate with other Executive Assistants throughout the AI Group and RBC to arrange discussions, prepare multiple stakeholders, and coordinate logistics for cross-functional meetings.
- Draft, review, and manage communications such as correspondence, presentations, and confidential documents, handling sensitive information with utmost discretion.
- Handle travel arrangements and manage expense reporting in compliance with RBC policies.
- Promote employee engagement by supporting social events, offsites, coffee chats, and other initiatives that nurture team culture.
Candidate Profile
The ideal candidate possesses:
- At least three years of experience supporting senior executives in a dynamic, fast-paced environment.
- Excellent organizational skills with the ability to juggle complex calendars and coordinate multiple senior stakeholders independently.
- Sound judgment and foresight to anticipate the needs of executives, especially for high-pressure meetings.
- A collaborative approach that enables effective coordination among direct reports, peer Executive Assistants, and senior leaders.
- Strong verbal and written communication skills.
- Full proficiency with Microsoft Office Suite and Adobe software.
- A team-minded attitude, willing to take initiative and handle tasks of all sizes.
