Overview
The Document Controller position supports the Projects team by managing the controlled flow and accurate handling of project documentation. This backend role involves preparing, organizing, and submitting critical documents to customers ensuring quality and timeliness throughout the document's lifecycle.
Key Responsibilities
- Maintain Vendor Document Register (VDR) and Supplier Document Register (SDR) for tracking project files.
- Assign document numbers to internal and external documents following set procedures.
- Manage receipt, recording, and distribution of documents internally and externally through controlled transmittals per approved distribution matrices.
- Ensure quality standards and revision control are upheld; monitor document turnaround and follow up on pending approvals.
- Coordinate with Engineering, Quality Control, Procurement, and Project teams to review, approve, and submit documents within deadlines; track customer feedback and prepare resolution sheets.
- Verify accuracy of documents before submission including file names, revision numbers, status, and transmittal details to avoid errors.
- Issue only the latest approved versions of documents and drawings to relevant parties for execution or reference.
- Maintain and update the Project Document Control Register to support effective tracking and reporting.
- Manage the complete document lifecycle ensuring proper recording, filing, and traceability across departments.
- Compile, print, and maintain hard-copy document packages such as Final Data Books and Manufacturing Record Books (MRBs) for projects; coordinate internal and customer approvals for final documentation closure.
- Liaise with vendors and subcontractors to collect required documentation and prepare complete hard-copy sets aligned with contractual obligations; arrange dispatch and courier services to client offices and sites per project specifications and delivery schedules.
Candidate Profile
- Possess a Bachelor's degree or Diploma in Engineering, Business Administration, or a related discipline.
- Hold 2 to 5 years of experience in document control within manufacturing, engineering, oil & gas, EPC, or construction sectors.
- Preferably familiar with ISO 9001 documentation requirements.
- Strong knowledge of document control protocols and quality management systems.
- Proficient in Microsoft Office tools such as Excel, Word, and PowerPoint.
- Experience with Document Management Systems (DMS), Electronic Document Management Systems (EDMS), or ERP software.
- Exceptional organizational and communication capabilities.
- Meticulous attention to detail and accuracy.
- Ability to work efficiently under pressure to meet project deadlines.
