Opportunity Overview
The Library and Learning Commons Department at Zayed University is seeking a Digital Archives Specialist to assist the University Archivist in managing digital records. This role involves the planning, organizing, security, maintenance, retention, disposal, and preservation of both born-digital and digitized records. The specialist will support long-term digital asset preservation, ensuring collections are accessible and usable by researchers, staff, students, and the public.
Key Responsibilities
- Apply international standards such as ISO/TS 16175, ISO 15489, ISO 14721, ISO 23081, ISO/TR 15801, and ISO 25964 to efficiently manage the university's digital records.
- Collaborate with the IT department to implement an integrated electronic records system encompassing emails, web content, and various electronic records.
- Develop and implement a comprehensive digital file classification system across university departments.
- Automate retention and disposal schedules within the electronic records management system.
- Identify and select vital and historical records for preservation.
- Work closely with the National Library and Archives to ensure compliance with national archival laws and regulations.
- Draft policies, guidelines, forms, and procedures for electronic records management aligning with national acts and international best practices.
- Coordinate with university departments to establish archival best practices for acquiring, selecting, preserving, and granting access to both physical and digital records.
- Arrange and describe records following ISAD-G, AtoM, or Records in Contexts–Conceptual Model (RiC-CM) standards.
- Protect the university’s intellectual property rights and ensure disaster preparedness and security measures for digital records.
- Conduct regular surveys, inventories, and audits of all university physical, analog, and digital records.
- Enhance digital archiving workflows including intake, metadata description, and version control processes.
- Facilitate the transfer and technical support for digital records moving to the university repository while preserving metadata and file integrity.
- Participate in planning and evaluation of digital archival projects and develop outreach programs around digital archives.
- Engage actively with international and regional archival bodies and provide archive and records management training to university staff, students, and the community.
- Stay current with developments in archival science and conduct research to share through various professional channels.
- Support general library initiatives including public services, instructional workshops, committee participation, and student worker supervision.
Qualifications and Experience
- Bachelor’s degree in archival science, computer science, information science, or a related field with 6 years of experience working extensively with electronic records, including at least 2 years in a supervisory role.
- Master’s degree in a relevant field (archival science, information science, or computer science) with a minimum of 4 years experience (including at least 1 year supervisory) is preferred.
- Professional certification in archives or related field is advantageous.
- Experience in academic library settings or equivalent preferred.
Technical and Other Skills
- Direct experience with Electronic Document Records Management Systems (EDRMS) and Enterprise Content Management (ECM) platforms such as Micro Focus Content Manager and OpenText.
- Familiarity with international archival standards including ISO/TS 16175-2, ISO 15489, ISO 11799, ISO 14721, ISO 23081, ISO/TR 15801, and ISO 25964.
- Proficiency in archival description tools like AtoM, ISAD-G, and Records in Contexts–Conceptual Model (RiC-CM).
- Strong IT competency and command of Microsoft Office suite.
- Bilingual Arabic and English skills are desirable.
