Position Summary
The Community Management Coordinator will support daily operations at Jackson Park, a prestigious residential community in Long Island City. This role involves administrative and operational tasks, resident engagement, vendor management, office coordination, financial support, assistance with leasing processes, event coordination, and ensuring consistent application of community management standards to deliver an outstanding resident experience.
Key Responsibilities
- Assist Assistant Property and Property Managers with operational duties.
- Manage vendor proposals, insurance documentation, and invoice processing.
- Enter vendor invoices into the Accounts Payable system for approval workflow.
- Maintain and review Storage and Bicycle logs.
- Handle office inquiries via phone, email, and walk-ins, including management of leasing and management email inboxes.
- Oversee office supply inventory and refreshments.
- Manage Pet Registrations, Key replacements with related charges, and Occupancy Riders.
- Approve postings on Building Link platform with Assistant Property Manager consent.
- Coordinate community notices using elevator screens, e-blasts, and other communication channels.
- Support accounting activities such as resident ledger inquiries, adjustments, and audits.
- Contribute to special projects throughout the year.
- Serve as backup for Leasing Coordinators when needed.
- Assist in planning and facilitating resident events.
- Maintain Move-In Status, Vacancy tracker, and upcoming move-in reports daily.
- Help develop and implement Community Management Standard Operating Procedures.
- Independently manage front desk operations and office traffic during assigned weekend shifts.
- Perform other assigned tasks as required.
Qualifications and Skills
- Bachelor's degree is required.
- Between two and four years experience in residential property management, hospitality, customer service, or related administrative roles.
- Exceptional customer service, interpersonal, and communication capabilities to build strong relationships with residents, vendors, and team members.
- Highly organized with keen attention to detail and ability to manage multiple priorities efficiently in a fast-paced setting.
- Proven ability to work independently with good judgment while maintaining confidentiality.
- Familiarity with accounts payable procedures, vendor coordination, resident communications, and basic property management financial processes is preferred.
- Proficient in Microsoft Office Suite (Excel, Word, Outlook, Teams); experience with Yardi, BuildingLink, or comparable property management software is a plus.
- Capable of supporting cross-department initiatives, coordinating resident activities, and adapting to shifts in business priorities, including availability for weekend scheduling.
- Experience applying emerging technologies such as artificial intelligence, automation, and data analytics to enhance operational efficiency and innovation.
Compensation and Benefits
The salary range for this position is $60,000 to $70,000 annually. The role is eligible for a discretionary yearly bonus and offers a comprehensive benefits package including medical, dental, vision coverage, life and disability insurance, 401(k) with matching contributions, wellness programs, and other full-time employee benefits at Tishman Speyer.
