About the opportunity
This role sits within a fast-moving trading and logistics business serving markets across the Middle East. The company focuses on import and export work, supply chain coordination, and cross-border trade in industrial as well as consumer products. It is looking for an organised Administrative Officer who can keep back-office processes running smoothly while supporting the firm’s growth in the UAE.
Key responsibilities
- Handle routine administrative work such as record filing, data input, and day-to-day communication with internal teams and outside stakeholders.
- Arrange travel plans, coordinate meetings, and manage office logistics for senior leaders and visiting business partners.
- Support procurement paperwork, work with vendors, and track invoices so that payments and approvals move through on time and remain compliant.
- Help maintain adherence to UAE business rules, including trade licence requirements, customs paperwork, and audit-ready records.
- Draft reports, presentations, and business communications used for internal operations and client-facing interactions.
- Serve as a central point of coordination between departments so administrative support flows efficiently across logistics, finance, and sales.
Skills and qualifications
- Strong working knowledge of MS Office tools.
- Comfort using document management systems.
- Understanding of UAE trade licence compliance requirements.
- Exposure to procurement support tools and processes.
- Good business writing and correspondence skills.
- Ability to manage calendars, meetings, and travel arrangements.
- Familiarity with ERP platforms such as SAP or Oracle is preferred.
- Arabic language ability is preferred.
- Experience handling customs documentation is preferred.
