Role Overview
This position is the linchpin supporting various administrative and operational activities essential to smooth functioning. The role involves handling vendor and purchase management, facility operations, employee engagement, compliance, and reporting functions to contribute to a seamless workplace experience.
Key Responsibilities
- Manage relationships with vendors, ensuring the timely delivery of services and coordinating purchase orders, invoice processing, and payments in collaboration with the finance team.
- Keep agreements and service contracts up to date and evaluate vendor performance focusing on quality, cost-effectiveness, and reliability while enforcing SLA compliance.
- Oversee all facility-related activities including housekeeping, security, office infrastructure maintenance, and Annual Maintenance Contracts (AMCs), ensuring timely servicing and resolution of technical issues.
- Conduct regular workplace hygiene and safety audits and maintain inventories of office supplies, consumables, and IT assets.
- Assist with organizing employee events, managing onboarding/offboarding processes, and coordinating travel and accommodation arrangements to optimize expenses and convenience.
- Maintain accurate documentation related to vendors, payments, and inventory; ensure compliance with company policies and support audit processes.
- Identify areas to enhance processes and reduce costs.
- Prepare and maintain monthly MIS reports on administrative operations, spending, and cost analysis, sharing weekly and monthly summary dashboards highlighting key updates.
Candidate Profile
- Possess a degree in Hotel Management (BHM), Business Administration, Facility Management, or related disciplines.
- Have 2 to 6 years of professional experience in office administration or workplace management.
- Demonstrated experience in handling vendor relations, event management, and facility operations in a dynamic organization.
- Preference will be given to BHM graduates with restaurant management background.
