Role Summary
The Warehouse Senior Coordinator will oversee all warehouse operations ensuring compliance with contractual obligations, maintenance of equipment, and service delivery to various departments including Production, Planning, Export, EHS, Quality & Food Safety, FGPM, and Freight. This role serves as the coordination hub between departments and distribution centers.
Key Responsibilities
- Coordinate with AGRO for daily planning of potato consignment offloading and manage cold storage operations in collaboration with Agro, Engineering, and QFS teams.
- Distribute monthly IMPM reports to planning and finance teams to facilitate liquidation of slow-moving materials.
- Prepare weekly aging reports and monitor rejected materials with Quality and Planning departments.
- Ensure quarterly calibration of weigh bridges, oil tanks, and potato processing equipment.
- Upload incident and near-miss reports, including CAPA actions on MYEHS platform with effective resolutions.
- Manage daily internal transfers across plants and production teams.
- Generate weekly purchase order status reports to confirm coverage of necessary utilities.
- Oversee supplier invoice and payment processes for services rendered.
- Review all SAP system movements weekly by conducting test scripts.
- Coordinate monthly reporting on non-moving packaging materials aligning with planning.
- Review daily documentation processed by storekeepers and clerks in accordance with I2C process.
- Enforce PIT procedures among forklift operators and supervise waste management to meet standards.
- Collaborate with forklift technicians to schedule preventive maintenance.
- Review and submit monthly timesheets for contract labor to HR.
- Implement SWP for all warehouse-related workflows.
- Schedule and ensure forklift and safety training compliance per training matrix.
- Maintain accurate and timely daily and monthly reporting, including KPIs, Quality Hold reports, and month-end closings.
- Maximize warehouse space utilization consistently.
- Supervise shift operations to ensure inbound and outbound processes comply with company policies.
- Conduct orientations on new SKUs and company updates for warehouse staff.
- Maintain Food Safety standards through daily document review and team alignment.
- Monitor daily KPIs to ensure productivity targets are met.
- Inspect equipment usage, verify checklists, and liaise with Engineering on breakdowns.
- Develop and assign weekly plans and resources to meet production and sales demands.
- Ensure compliance with audit requirements including COSO effectiveness tests.
- Track Quality HOLD materials and coordinate with Quality teams for process execution.
- Monitor daily and monthly inventory; investigate variances and determine root causes.
- Conduct monthly SIT reviews with concerned plants.
- Lead daily pre-shift meetings to allocate tasks and provide updates.
- Complete management-assigned tasks within established deadlines.
- Adhere to AIB standards by maintaining cleanliness and documenting warehouse activities daily.
- Participate in warehouse development projects to ensure safety and hygiene according to QFS standards.
- Manage disposal write-offs fully and accurately.
- Follow up daily on pending offloading and loading tasks.
- Coordinate with Engineering for equipment servicing and annual preventive maintenance.
- Track timelines for mock recall processes to ensure effectiveness.
Qualifications and Skills
- At least two years of experience in a supply chain role, preferably involving diverse responsibilities within warehouse operations.
- Experience in food manufacturing environments is advantageous for applying solutions across the supply chain.
- Ability to quickly adapt to new technologies and enhance technical competencies.
- A degree in Commerce, Finance, Technical studies, or relevant supply chain/warehousing qualifications.
- Self-driven with leadership capabilities, able to identify and implement corrective actions proactively.
- Excellent communication and negotiation skills.
- Strong analytical thinking and planning abilities with a cross-functional outlook.
- Proficient in English, both spoken and written.
- Highly motivated, enthusiastic, and capable of working under supervision.
