Job Overview
The Trust Administrative Assistant role involves providing clerical and administrative support to Trust Company employees and assisting clients with their trust account needs during periods when trust officers are unavailable.
Key Responsibilities
- Organize and file correspondence, legal documents, memos, bills paid, and asset records in both documentary and original files.
- Process employee and employer contributions through the recordkeeping system.
- Set up and oversee recurring payments from client accounts, including monthly pension checks, and make necessary adjustments.
- Distribute and collect loan and distribution forms from participants.
- Enter and execute distributions and payments requested from client accounts promptly.
- Monitor cash availability and inform the Trust Administrator regarding cash requirements.
- Update the trust system with changes such as name and address records, and account statements, following directions from the Trust Administrator.
- Generate reports and Excel spreadsheets as needed for operational use.
- Open new accounts by entering client information; close accounts as instructed by the Trust Administrator.
- Coordinate with Trust Operations to facilitate receipt and delivery of securities by providing necessary documentation.
- Prepare paperwork to initiate asset transfers, secure client authorizations, acquire additional information as needed, follow up on asset receipt, and resolve any related issues.
- Gather cost basis details and perform estate valuations.
- Prepare Court Accountings when required.
- Arrange client meetings and assist in preparing presentation materials and board packets.
- Welcome and assist visitors when applicable.
- Handle incoming calls to address inquiries and resolve issues.
- Sort incoming mail, distribute it, and perform daily deliveries to the Post Office if needed.
- Draft correspondence, reports, and other required documents.
- Perform additional duties as assigned.
Qualifications and Experience
- High School diploma or GED with two years of experience in Trust services, business, or college coursework.
- Proficient in Microsoft Word, Excel, and other office computer programs; skilled in operating standard office equipment.
