Role overview
The Storekeeper will oversee the smooth receipt, storage, issuance, and tracking of materials, lab consumables, equipment, and other supplies needed for the School’s day-to-day operations. This position focuses on maintaining accurate stock records, ensuring materials are available when required, and following University procedures through the Material Management System (MMS).

Key responsibilities
- Accept incoming goods, check them carefully, and route them to the correct storage area or intended user.
- Confirm that each delivery matches the approved purchase order, delivery challan, product specifications, and ordered quantity.
- Turn away items that are damaged, incorrect, expired, or otherwise non-compliant, and coordinate replacement support with the Purchase Department.
- Distribute materials, lab consumables, chemicals according to approved procedures, stationery, and other supplies as per stock rules.
- Keep inventory at healthy levels and raise indents or requisitions for replenishment based on minimum stock thresholds and departmental needs.
- Maintain accurate registers, invoices, stock logs, and all other store documentation on an ongoing basis.
- Record every inventory movement and invoice in the MMS or any other ERP system used by the University.
- Carry out regular physical stock checks and inventory audits, and match findings with system data.
- Ensure the store remains properly organized, labeled, clean, hygienic, and safe.
- Track storage conditions so laboratory items and pharmacy-related supplies are stored and handled correctly.
- Work closely with Purchase, Finance, Laboratory, and Administrative teams on procurement, stock positions, and inventory mismatches.
- Address vendor delivery problems and follow up on partial or pending deliveries.
- Prepare recurring reports on inventory status and stock consumption for management review.
- Follow University inventory policies, audit standards, and applicable statutory guidelines.
- Take on any additional duties assigned by the University from time to time.
Education and experience
A graduate degree from a recognized university is required. A certification in Store Management, Inventory Management, Supply Chain Management, ERP/Material Management Systems, or a similar area will be an advantage.
Candidates should have at least 3 years of experience in storekeeping, inventory operations, or stores assistance within an educational institution, hospital, pharmaceutical company, laboratory, or healthcare organization. Experience with laboratory consumables, chemicals, pharmaceutical materials, and inventory software will be preferred.
Skills and competencies
The role calls for strong store and inventory management knowledge, solid documentation habits, and the ability to handle stock audits, reconciliations, and ERP-based records. The candidate should also be comfortable with Microsoft Office tools and capable of coordinating with multiple departments while maintaining accuracy, compliance, and safety standards.
