Role overview

Liberty Mutual Insurance’s Global Legal & Compliance organization is hiring a Senior Executive Assistant for its Legal Support Solutions team. This position supports senior leaders within the GL&C Executive Leadership group by delivering highly effective, day-to-day administrative partnership that evolves with leadership priorities.

The role is focused on helping executives work efficiently. You will use judgment and discretion to manage calendars, prepare clear meeting materials, coordinate complicated travel and logistics, and take ownership of important administrative tasks. The position also calls for anticipating needs, identifying issues early, weighing options, and recommending practical solutions that leadership can rely on. You will regularly balance competing demands, work across teams to improve scheduling and protected focus time, and maintain a strong standard of confidentiality, diplomacy, and service.

This position may require working in the office depending on the candidate’s location.

Responsibilities

Your day-to-day work will include:

  • Using approved AI and enterprise productivity tools securely and appropriately to draft communications, summarize information, conduct research, and improve executive workflows while protecting confidentiality and meeting compliance expectations.
  • Learning each leader’s preferred working style and tailoring support to match it, ensuring communication stays clear and effective.
  • Managing executive calendars with a strategic approach, prioritizing meetings, resolving conflicts, protecting focus time, and keeping leaders updated on changes.
  • Handling competing priorities across stakeholders, escalating concerns when needed, and suggesting workable solutions.
  • Preparing leaders for meetings by creating concise briefing materials, setting agendas, collecting and sharing pre-reads, and, where needed, attending meetings and coordinating with outside partners.
  • Arranging complex travel and itineraries, including transportation, lodging, and schedules, while managing changes and related expense processing.
  • Creating and editing documents, presentations, spreadsheets, and correspondence using tools such as PowerPoint, Excel, Word, and Adobe, with attention to accuracy and presentation quality.
  • Organizing records and collaboration spaces such as MS Teams and SharePoint, while supporting records-retention practices and easy information access.
  • Planning and supporting virtual and in-person team gatherings such as staff meetings, town halls, quarterly off-sites, and other events.
  • Assisting with process and program administration, including distribution lists, nominations, surveys, research, resource collection, and documentation.
  • Keeping up with new tools and technologies that improve executive productivity, sharing helpful features with stakeholders, and supporting basic troubleshooting and onboarding.
  • Working proactively with strong organization, time management, and attention to detail, while producing high-quality outcomes with limited direction.
  • Maintaining strict professionalism and discretion, especially when handling sensitive information or navigating difficult interpersonal situations.

Requirements

  • Strong working knowledge of administrative processes, business terminology, records management systems, and software such as Microsoft Word, Excel, PowerPoint, Teams, and Adobe Acrobat.
  • Excellent organization, time management, and attention to detail, along with a proactive and resourceful approach.
  • A high level of professionalism, with the ability to handle confidential information carefully, communicate tactfully, and build positive working relationships.
  • Ability to read complex situations well and respond to challenging people or circumstances with diplomacy and tact.
  • Typically acquired through an associate’s degree or equivalent, plus 6 to 8 years of progressively responsible administrative experience, including support at the management level.
