Role Overview
We are looking for a seasoned Senior Administrative Specialist to join and support our Southeast Asia operations. This role demands overseeing and enhancing office functions to ensure an orderly and efficient workplace, while establishing effective administrative frameworks throughout the region.
Key Responsibilities
- Streamline and improve administrative procedures within Southeast Asia offices to sustain an organized and effective office atmosphere.
- Organize office space usage, renovation efforts, and ensure all safety regulations are met.
- Oversee procurement of office materials, manage renovation initiatives including vendor assessments and cost management.
- Coordinate employee visa processing, travel arrangements, insurance, and provide varied administrative support.
- Offer executive secretarial assistance to the CEO, managing meal planning, visa formalities, meeting organization, and daily administrative tasks.
- Deliver front-desk and workplace support services fostering a positive work environment, professional workplace conduct, and promoting corporate culture in overseas offices.
- Support local business units and aid in cross-departmental activities as necessary.
- Undertake additional projects and duties as delegated by management.
Essential Qualifications
- Possess a Bachelor’s degree or above with fluency in both English and Chinese languages.
- Have between five to ten years of relevant administrative experience based in Singapore, with comprehensive knowledge of local operational, compliance, and vendor management practices.
- Exhibit strong communication, relationship-building skills, and a proactive, meticulous, and result-oriented mindset.
- Possess robust problem-solving skills, logical analysis capabilities, and the ability to interpret basic data.
- Proficient with Microsoft Office suite.
