Project Manager – Award Winning Facilities Firm

About the Role

Freshco is seeking a seasoned Project Manager to oversee multi-site projects throughout Canada and the United States. The ideal candidate brings over three years of direct experience in blueprint analysis, interpreting scope of work documents, and preparing take-offs, allowing them to lead projects with minimal supervision. The Project Manager's responsibilities span from project initiation to final billing, maintaining Freshco's exceptional service quality while fostering excellent client and contractor relationships.

Key Responsibilities

• Ensure all project data is meticulously entered and maintained in Freshco's internal database, including notes, follow-ups, vendor details, cost estimates, bids, contracts, financials, and related documents.
• Lead comprehensive project management by independently handling complex scopes, applying sound judgement, and providing dependable leadership.
• Prepare precise cost estimates based on project plans and specifications to establish budgets and financial feasibility.
• Develop detailed project schedules using tools such as Gantt charts to monitor timelines and milestones, ensuring projects are completed on schedule and within budget.
• Manage project finances, monitor expenditures, and communicate any scope, timeline, or budget adjustments promptly to relevant stakeholders.
• Complete project closeout processes including final inspections, addressing punch list items, and handing over deliverables to clients.
• Supervise construction activities to guarantee quality standards are met, identify defects quickly, and maintain effective site communications.
• Conduct regular site inspections to confirm adherence to timelines, quality expectations, and standards.
• Negotiate rates and contractual terms with technicians and contractors as necessary.
• Recruit and vet new vendors to expand Freshco's network, ensuring compliance with onboarding standards.
• Select vendors and subcontractors, negotiate contracts, and oversee their performance concerning pricing, scheduling, and quality.
• Ensure all construction complies with applicable regulations and permits are secured.
• Serve as the main contact point for clients and stakeholders, providing progress updates and managing escalations professionally.
• Collaborate closely with site operations to minimize disruptions and facilitate timely openings of new locations.
• Identify project risks and develop contingency plans to mitigate potential issues.
• Mentor and support the growth of Project Managers and Coordinators, fostering continuous professional development and enhancing project management practices.
• Travel is expected within Canada and the U.S. as per project needs, with management approval.
• Flexibility for after-hours and weekend work may be required alongside regular business hours.
• Work arrangement includes office, remote, or onsite in compliance with Freshco's policies.
• Collaborate effectively with internal divisions and leadership teams.

Qualifications and Skills

• Minimum of 3 years of hands-on project management experience, particularly in retail construction environments.
• Proficiency in reading blueprints, interpreting scopes of work, and performing accurate material and labor take-offs.
• Strong organizational capabilities and ability to manage time effectively.
• Excellent client service skills paired with outstanding interpersonal communication.
• Professional verbal and written communication skills, including proper email and phone etiquette.
• Competency with Microsoft Office Suite (Word, Excel, Outlook).
• Experience using CRM or CMMS platforms such as QuickBase or Service Channel.
• Keen attention to detail coupled with critical thinking and a solution-driven approach.
• Skills in conflict resolution, escalation management, and contract negotiation.
• Adaptability and willingness to grow with the evolving demands of the role.

Compensation and Benefits
