Role Overview

Joining as a Program Coordinator, you will be crucial in supporting diverse cross-functional projects and releases. Your duties involve maintaining current and precise program information, monitoring deadlines and dependencies, and ensuring transparent communication among teams. You will orchestrate key meetings, record decisions and action items, compile status updates, and escalate potential risks affecting delivery schedules or quality.

Key Responsibilities

• Gather and consolidate updates regularly on tasks and project advances
• Ensure status reviews are thorough, precise, and consistent
• Maintain JIRA structures, tasks, timelines, assigned ownership, and dependencies
• Keep project records and documentation up to date in Confluence
• Detect any deviations from planned activities and drive corrective measures
• Prompt responsible parties about crucial deadlines and pending tasks
• Organize and lead meetings such as status updates, dependency coordination, and release preparedness sessions
• Record decisions and maintain logs for action items until completed
• Create comprehensive status reports for stakeholders and management
• Visualize essential metrics including progress, risks, and delivery trends
• Engage in release planning and assist coordination of major launches
• Manage a dependency map spanning multiple teams, systems, and workflows
• Monitor release readiness focusing on key cross-team and technical dependencies
• Identify and promptly report risks that could impact timeline, scope, or quality of releases

Required Qualifications and Skills

• At least two years’ experience in roles such as Program Coordination, PMO, Program Support, or Delivery Coordination
• Proficient practical use of JIRA and Confluence tools
• Exceptional organizational abilities managing multiple projects, deadlines, and stakeholders simultaneously
• Experience in gathering, validating, and consolidating project or program statuses
• Capability to recognize inconsistencies, missing details, delays, and delivery risks
• Skilled in organizing and facilitating cross-functional team meetings
• Competent in documenting decisions, actions, dependencies, risks, and agreements
• Able to produce clear and succinct management reports and presentations
• Proactive communicator with confidence in following up with assigned stakeholders
• Adaptable to fast-paced and evolving work environments
