Role Overview
The Procurement Specialist will undertake various responsibilities related to procurement and vendor management to assist the Procurement team effectively.
Key Responsibilities
- Keep product and vendor information current in internal systems, including expected delivery dates, notes, and appropriate work order statuses to inform all involved stakeholders about material availability.
- Evaluate vendor order acknowledgments to verify accuracy of item details, lead times, quantities, costs, ensuring materials arrive by expected dates; monitor and follow up on back-orders, shipments, and track sourced products.
- Communicate with vendors to supply purchase order numbers and confirm orders.
- Maintain an updated vendor scorecard reflecting customer satisfaction levels.
- Perform reconciliation of purchase orders and supplier invoices.
- Collaborate with Procurement team and associated departments; coordinate with branch locations to manage ongoing acquisition orders aligning with company receiving and put-away targets; liaise with Accounting to confirm suppliers comply with invoicing protocols.
- Arrange and coordinate meetings to enhance procurement operation efficiency.
- Support in preparing and auditing Requests for Proposals (RFPs).
- Produce reports such as Supplier Performance, Spending by Commodity, and Cost Savings.
- Manage general services including procurement of office supplies, mail handling, maintenance and repair of office equipment, and address facility-related matters.
- Perform additional duties as assigned.
Supervisory Role
This position does not involve supervising other employees.
Qualifications and Skills
- Minimum requirement: High School diploma or G.E.D. equivalent.
- At least 1 year of relevant work experience.
- Completion of college-level coursework is advantageous.
- Automotive industry experience preferred.
- Intermediate proficiency with Microsoft Word and Excel.
- Ability to perform basic arithmetic operations (addition, subtraction, multiplication, division) with whole numbers, fractions, and decimals in diverse units of measure.
- Frequent usage of email, word processing, data entry, spreadsheets, and graphic software; capable of creating and managing documents, spreadsheets, databases, and presentations to support business goals.
- Communicate basic messages clearly both orally and in writing; capable of explaining routine procedures.
- Routine problem-solving by following established directions and policies.
- Decision-making impacts personal job tasks or specific functional areas; exercises personal goal setting with minimal guidance from supervisors.
- Handle multiple projects concurrently with moderate complexity.
Physical Requirements and Work Environment
- Work is primarily sedentary, requiring extended periods of sitting and frequent use of computer peripherals.
- Occasionally needs to lift or move items weighing up to 50 pounds.
- Travel may be required on occasion, including overnight stays estimated up to 10% of the time, depending on job needs.
