Role overview

Oxford University Hospitals NHS Foundation Trust is looking for an Outpatient Booking Officer to help keep outpatient services running efficiently. In this role, you will support clinic coordination, update and manage patient tracking information, schedule and validate appointments in EPR, and keep a close watch on elective, RTT, and cancer pathways so delays or breaches are avoided. The position plays an important part in supporting clinicians, making the best use of clinic capacity, maintaining reliable patient records, and contributing to a positive patient experience.

Key duties

  • Enter outpatient referrals and other essential patient and clinical details into EPR promptly and accurately, following agreed standards, the Trust Elective Access Policy, and data quality requirements.
  • Schedule appointments in EPR in line with Trust booking processes, and make sure referrals are clinically triaged within 48 hours.
  • Allocate appointment dates for patients on ERS according to clinical priority and waiting time, and manage patients on the ASI list appropriately.
  • Respond to patient-initiated and hospital-led cancellations in a way that helps make the most of available elective capacity.
  • Check that each patient’s 18-week RTT pathway is correct on EPR before any updates are made.
  • Oversee allocated patient tracking lists and participate in weekly PTL meetings with management.
  • Record consultant annual leave and any changes to outpatient sessions accurately and promptly.
  • Help resolve clinic cancellation problems by working with colleagues and organising cover or alternative clinic arrangements when needed.
  • Build a solid understanding of the Trust Elective Access Policy and related procedures, and contribute constructively to improvements in elective administration.
