Job Overview
The Ordering Assistant is responsible for managing the passenger car ordering process for Western Motors, specifically Jeep, Fiat Passenger Cars, and Ankai Bus models. The role ensures customers receive vehicles timely and aligned with specified requirements. Additionally, the position involves supporting various sales administrative tasks to maintain seamless operational flow.
Key Responsibilities
- Operations: Compile monthly rollout reports detailing forecasted order quantities and stock levels. Engage in order quantity discussions with Regional Sales Manager and relevant supervisory staff. Secure timely and accurate order placement post management approval. Verify and align final order sheets with approved planning reports before system uploads.
- Forecasting: Analyze previous month’s stock turnover, current market trends, and departmental sales targets relative to existing stock to estimate next order quantities.
- Logistics Coordination: Facilitate communication among involved parties during shipment receipt to ensure prompt clearance and avoid port penalties. Work with finance on marine insurance and freight teams on customs.
- Administrative Support: Collaborate with sales teams to gather necessary documentation, acquire fleet account numbers, update sales data for fleet incentives, and verify invoice details in compliance with approved deals.
- System Updates: Regularly input stock updates into the Autoline system post-port receipt for accurate visibility by sales and management.
- Reporting: Generate daily retail and invoice reports for internal and external stakeholders such as management and Principal representatives.
Qualifications and Experience
- Completion of Secondary School Education Certificate is required.
- A diploma in business, mechanical studies or related fields is preferred but not mandatory.
- Have 1-2 years of experience in inventory or order management within the automotive sector.
