Role Overview
The Operations Executive will support a wide mix of day-to-day business operations, covering order handling, customer support, supply chain coordination, product information, regulatory administration, office/facilities support, and internal systems assistance. This position is well suited to someone who is highly organised, process-driven, comfortable with data and systems, and confident working with customers, suppliers, fulfilment partners, ecommerce platforms, marketplaces, regulatory contacts, IT providers, and internal colleagues. The role requires someone who can manage tasks across multiple functions and see them through accurately from start to finish.
Key Responsibilities
- Manage orders from receipt through to fulfilment across all sales channels, making sure each one is moved forward accurately.
- Monitor and respond to customer enquiries through the support platform, providing timely and correct help with order questions, delivery concerns, returns, replacements, and other operational customer issues.
- Create and track purchase orders, then follow up with suppliers and manufacturers regarding lead times, production schedules, and deliveries.
- Keep product, supplier, stock, and order information accurate in the relevant business systems.
- Assist with stock control, inventory movements, and investigation of any differences or mismatches.
- Work with third-party logistics and fulfilment partners on inbound receipts, order processing, dispatch issues, kitting, bundles, and promotional stock needs.
- Support ecommerce and marketplace activity, including stock updates, operational setup, and campaign preparation.
- Collect, monitor, and organise product compliance documents such as specifications, certificates, test reports, artwork review files, and support for claims.
- Help with office facilities, general administration, system access, software coordination, and basic IT-related tasks.
- Contribute to improving processes, reducing mistakes, and strengthening operational controls and working methods.
Skills and Experience
The ideal candidate will bring experience in operations, customer service, supply chain, purchasing, inventory, order processing, or product administration. They should be detail-oriented, accurate, comfortable handling data, and confident using systems. A tech-friendly mindset and interest in using systems or AI tools to improve efficiency will be valuable. Strong organisation, good follow-through, clear written and verbal communication, practical problem-solving, and the ability to juggle several priorities are all important. The role also involves regular interaction with customers, suppliers, warehouses, fulfilment partners, service providers, and internal teams.
Desirable Experience
- Previous exposure to skincare, cosmetics, FMCG, ecommerce, or retail environments.
- Hands-on experience with Cin7, ERP platforms, ecommerce tools, customer service systems, or 3PL software.
- Familiarity with SKUs, BOMs, bundles, stock transfers, and product master data.
- Experience working with product compliance files, supplier paperwork, artwork checks, or product launch workflows.

Additional Information
This is a full-time hybrid role based in Galway, County Galway, Ireland. The annual salary is €35,000 to €40,000.
