Role Overview
We are currently looking for an Office Administrator based in our Dubai office to deliver high-quality administrative assistance and play a vital role in maintaining efficient day-to-day operations. This position demands excellent organizational capabilities, a keen eye for detail, and the utmost discretion in handling confidential matters.
Key Responsibilities
- Deliver thorough administrative and office assistance to guarantee seamless daily functions
- Organize and manage team calendars, coordinating meetings, appointments, and travel plans
- Interact with suppliers, clients, and other external contacts to resolve routine concerns effectively
- Take initiative to follow up on pending issues to ensure timely completion
- Prepare and systematize documentation accurately for ease of access
- Act as the initial point of contact by screening and directing incoming calls, emails, and other inquiries
- Arrange and oversee events, conferences, and meetings ensuring all necessary logistics are arranged
- Maintain confidentiality and handle all sensitive information with professionalism
- Manage expense reports, invoices, and budgeting tasks related to the executive office
- Perform additional administrative duties or special projects as needed
Qualifications & Requirements
- 3 to 5 years of relevant experience in an office administration role
- Outstanding organizational and time management abilities
- Strong command of Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook
- Ability to juggle multiple priorities efficiently in a dynamic environment
- Excellent English language skills, both written and verbal
