Role Overview
As a Meeting and Events Coordinator, your primary responsibility is to assist the Meetings & Events department in maximizing revenue and fostering strong client relationships through strategic sales approaches and outstanding customer service. You will coordinate and execute meetings, events, and conferences for up to 200 attendees, managing all stages from planning through delivery.
Key Responsibilities
- Promptly address client and agent inquiries via phone and email, ensuring responses within 24 hours and professional communication.
- Implement yield management techniques aligned with corporate guidelines and in collaboration with the Meeting and Events Manager.
- Actively promote special offers and optimize every available sales opportunity.
- Prepare accurate contracts to convert business opportunities effectively and maintain Pullman London St Pancras’s event calendar.
- Follow up on all booked business while adhering to departmental protocols.
- Communicate event details clearly and timely to all stakeholders.
- Conduct professional venue show-rounds and site inspections for existing and prospective clients, emphasizing hotel strengths.
- Provide clients with detailed event orders prior to their events.
- Coordinate timely and accurate information flow to operational departments involved in the event.
- Produce and disseminate weekly schedules listing upcoming events.
- Participate in pre-convention meetings as necessary.
- Welcome clients at event start and maintain visibility throughout the function.
- Collect client feedback during and after events through questionnaires and follow-up calls.
- Handle client complaints or disputes professionally within established guidelines and communicate relevant feedback internally.
- Ensure compliance with financial procedures, including securing prepayments, reconciling, and issuing final invoices within 48 hours of event departure; resolve account inquiries promptly.
- Meet weekly personal sales targets consistently.
- Document all declined business and recommend alternative Pullman or Accor properties when appropriate.
- Maintain awareness of market trends via competitor inspections.
- Keep client files well-organized and current for efficient reference.
- Participate fully in internal meetings and attend training sessions as required.
Candidate Profile and Qualifications
- Minimum of two years professional experience in a relevant role.
- Proficient computer skills, including Microsoft Office and event management systems such as OPERA and Delphi.
- Fluent English required; proficiency in a second language is advantageous.
- Excellent organizational and time management capabilities.
- Strong written and verbal communication skills.
- Demonstrated ability to resolve problems and manage administrative tasks efficiently.
- Customer-focused attitude with keen attention to detail.
- Ability to work effectively within deadlines and departmental procedures.
- A committed team player with a professional demeanor.

Salary is £16.84 per hour, equating to an annual package of £34,151. Applicants must have the right to work in the United Kingdom.
