Role Overview

The HR Shared Services Specialist plays a vital role within the Shared Services team, handling responsibilities related to visa management, onboarding, compliance, and diverse HR administrative duties. Acting as a key liaison among government authorities, external agencies, internal HR teams, and service providers, this position ensures accurate and timely processing of employee documentation and compliance tasks, streamlining onboarding and supporting smooth HR operations throughout the organization.

Key Responsibilities

  • Initiate and monitor visa applications and renewals through governmental systems like QIWA and MUQWEEM.
  • Coordinate payment processing related to visa and document attestations with the Finance department.
  • Communicate with candidates and appointed agencies to provide necessary guidance and ensure prompt submission of required documents.
  • Manage authentication and attestation of employment contracts with relevant government entities.
  • Handle the preparation, dispatch, and receipt of all visa-related paperwork.
  • Track visa approval statuses and communicate results promptly to stakeholders.
  • Confirm employment start dates with candidates and property HR teams to support effective onboarding.
  • Coordinate housing and accommodation arrangements in collaboration with Community Management and Housing departments.

  • Maintain precise and up-to-date employee records within HR information systems.
  • Systematically organize and archive HR documents, contracts, and correspondence.
  • Manage the Shared Services email inbox, responding promptly to queries from employees and managers.
  • Coordinate scheduling for meetings, interviews, and training sessions.
  • Assist payroll operations by providing accurate employee data and resolving related inquiries.
  • Generate and circulate reports monitoring shared services activities, compliance, and process effectiveness.
  • Collaborate with other HR functions and operational teams to resolve issues and enhance processes.
  • Execute additional administrative responsibilities to support the Shared Services team and broader HR function.

Qualifications and Experience

  • Minimum education: High school diploma or equivalent; a degree in Human Resources, Business Administration, or related fields is preferred.
