About the Company
Talent Blueprint FZ LLC is looking for a polished, professional, and proactive Front Desk Ambassador to act as the initial point of contact for our organization. This position suits someone who excels in a dynamic corporate setting and is committed to delivering outstanding front-of-house experiences alongside high-level administrative and executive support.
About the Role
In this role, you will be essential in fostering a welcoming and professional atmosphere for visitors, clients, and staff, while providing critical support to the leadership team through executive coordination and corporate administration.
Key Responsibilities
- Welcome clients, visitors, and employees with professionalism and excellent customer service.
- Handle incoming calls, emails, courier deliveries, and general correspondence effectively.
- Keep the reception area organized and ensure meeting and common rooms are presentable at all times.
- Manage office supplies, stationery inventory, and fulfill general administrative needs.
- Oversee inbound and outbound mail and maintain structured office records and filing systems.
- Manage the CEO’s calendar by scheduling appointments and meetings to optimize time management.
- Coordinate both internal and external meetings, encompassing boardroom bookings, agenda preparation, meeting materials, and hospitality arrangements.
- Assist with travel arrangements, including booking transportation, accommodation, and coordinating itineraries when necessary.
- Support executive communications and follow up on action items to ensure timely execution.
- Prepare and process invoices, coordinating closely with the Finance department to facilitate timely payments.
- Support procurement processes by assisting with purchase requests, vendor coordination, and related administrative tasks.
- Maintain corporate documentation, records, and confidential files according to company policies.
- Assist with compliance, governance, and corporate services administrative activities.
- Contribute to organizing office events, employee engagement programs, and other administrative projects as assigned.
Qualifications & Experience
- Bachelor’s degree in Business Administration or a related field is required.
- A minimum of three years’ experience in front desk operations, executive administration, office management, or corporate services is essential.
- Fluency in English with excellent verbal and written communication skills; knowledge of Arabic is a plus.
- Strong organizational and multitasking abilities especially in a fast-paced environment.
- Proficiency in Microsoft Office tools (Word, Excel, PowerPoint, Outlook) and calendar management applications.
- Demonstrated professionalism with high discretion and confidentiality.
- Excellent attention to detail, problem-solving skills, and effective time management.
- Customer-oriented approach with outstanding interpersonal and relationship-building competencies.
