Job Overview
The Executive Assistant to the Senior Vice President (SVP) of Strategy delivers high-quality administrative and operational support to ensure effective management of priorities, commitments, and critical tasks.
This role involves proactively managing a complex schedule, organizing domestic and international travel, performing research, supporting team events and engagement, and handling diverse administrative duties. Success depends on exceptional organizational skills, foresight to anticipate needs, balancing competing demands, and maintaining effectiveness to optimize the SVP's operations.
Key Responsibilities
- Establish and sustain a steady daily, weekly, and monthly schedule rhythm.
- Use judgment to proactively handle diary conflicts and maintain a forward outlook of the SVP's calendar.
- Ensure the weekly agenda aligns with agreed priorities, barring exceptional situations.
- Schedule and reschedule regular meetings involving direct reports and stakeholders.
- Serve as the first point of contact and liaison among internal and external parties.
- Coordinate meetings, reserve dates for events, and manage routine business activities.
- Administer divisional office logistics including facility issues, locker management, stationery procurement, and Purchasing Card transactions.
- Oversee a consistent onboarding experience for new team members ensuring adequate integration and resource provision.
- Promote team culture by organizing and engaging in team-building events.
- Partner with Facilities to manage floor planning, desk assignments, and office floor management at the Paddington location.
- Prioritize and filter SVP's emails and requests, escalating information appropriately.
- Handle and approve expense reimbursements on behalf of the SVP.
- Organize complex travel plans for the SVP.
Working Arrangement
This position follows a hybrid model, with an expectation of in-office presence in London Paddington three days a week, typically Tuesday through Thursday.
Qualifications
- Demonstrated ability to build and maintain credible, long-standing professional relationships internally and externally.
- Strong organizational and time management capabilities.
- Positive, solution-focused mindset when addressing challenges.
- Able to thrive in a fast-paced environment.
- Proficiency with Microsoft PowerPoint, Excel, Word, and Outlook.
- Familiarity and comfort using AI tools such as Copilot.
- Excellent communication abilities across writing, interpersonal, and presentation contexts.
- Self-driven, highly organized, detail-conscious individual.
