Role overview
This position provides high-level administrative support to a group of 3 to 4 senior leaders in a fast-moving remote environment. The work centers on keeping calendars organized, coordinating travel and meetings, preparing reports, and handling communication so the executive team can operate efficiently. The role also involves partnering with colleagues and stakeholders to keep workflows on track and help leadership stay focused on priorities.
Key responsibilities
- Own complex calendar management for internal and external commitments, keeping schedules aligned and resolving conflicts in advance.
- Prepare recurring and ad hoc reports, gather relevant data, and update systems to support business functions and management decisions.
- Act as a primary contact for operational teams and other internal groups, triaging questions, resolving routine issues, and escalating when needed.
- Monitor, organize, and prioritize incoming messages and requests for assigned executives, including meeting invitations and information requests.
- Provide broad administrative support to 3 to 4 executives, including travel planning, itinerary coordination, expense reporting, onboarding and offboarding support, and logistics for meetings, events, and team retreats.
- Help teams adopt AI-based tools and workflows to improve productivity and contribute to AI-related projects as required.
Experience and qualifications
- A minimum of 6 years of relevant professional experience, including at least 3 years working directly as an executive administrative assistant.
- Willingness to occasionally work across time zones and outside standard business hours when business needs require it.
- Strong adaptability and an eagerness to learn new technologies, including emerging AI platforms.
- Comfort managing demanding executive calendars and coordinating scheduling needs across multiple leaders.
- Excellent written and verbal communication skills.
- Strong planning, organization, time management, attention to detail, and problem-solving abilities.
- Clear judgment around discretion, confidentiality, and handling sensitive information.
- Working knowledge of Google Workspace is preferred.
- Prior use of AI tools such as Claude, Gemini, or chat-based assistants to streamline administrative work is preferred.
Physical requirements
This role may involve sitting for long periods, frequent computer and keyboard use, and occasional walking or lifting.
