Role Overview
This full-time Executive Assistant position supports senior leaders, including the CEO, CMO, and COO, with day-to-day coordination and administrative execution. The role involves managing complex calendars, setting up meetings, preparing documents, handling correspondence, and keeping information organized. It also includes expense tracking, record maintenance, travel coordination, and communication with premium clients and business partners.
Key Responsibilities
- Manage executive calendars and organize appointments, meetings, and schedules.
- Coordinate internal and external meetings and ensure all required materials are ready in advance.
- Prepare documents, reports, and other administrative materials for leadership.
- Handle professional communication on behalf of executives with clients, partners, and stakeholders.
- Create and maintain expense reports with accuracy and attention to detail.
- Keep records and administrative files updated and well organized.
- Arrange business travel and related logistics when required.
- Support executives in tracking priorities and completing tasks efficiently.
Candidate Profile
- Previous experience supporting senior executives in an administrative or assistant capacity.
- Strong background in calendar coordination, meeting planning, and travel arrangements.
- Hands-on experience with expense reporting and maintaining precise records.
- Excellent written and spoken communication skills.
- Comfortable interacting professionally with clients, partners, and senior stakeholders.
- High level of discretion and ability to handle sensitive information confidentially.
- Proficiency with MS Office and scheduling or productivity tools, including AI-enabled software.
- Well-developed organizational ability and a proactive, self-driven work style.
- Experience in luxury retail, events, or client-facing services is an added advantage.
