About the Role

Key Responsibilities

  • Deliver detailed administrative and executive assistance to the General Manager and Hotel Manager, managing calendars, meetings, travel plans, and daily tasks.
  • Handle sensitive information, correspondence, reports, and documents with utmost confidentiality and professionalism.
  • Oversee Executive Office administration such as filing systems, document control, correspondence, and tracking action items to ensure prompt follow-up.
  • Prepare and organize agendas, presentations, reports, meeting materials and capture meeting minutes accurately with distribution and follow-up on action points.
  • Coordinate management meetings, executive and VIP visits, leadership events, and special projects ensuring flawless execution.
  • Compile and consolidate management reports, business reviews, performance dashboards, and executive presentations on a monthly, quarterly, and annual basis.
  • Work collaboratively with all hotel departments to support communication, operational projects, cross-functional initiatives, and quality improvement efforts.
  • Partner with People & Culture and Learning & Development teams for recruitment, onboarding, training, organizational updates, and support for management administration.
  • Manage departmental administration tasks including attendance, leave records, payroll documentation, purchase requests, expense tracking, and budget monitoring.
  • Foster professional relationships with property owners, corporate offices, business partners, government agencies, and other external stakeholders.
  • Undertake additional duties or special assignments as delegated by the General Manager or Hotel Manager to aid business goals and the smooth operation of the Executive Office.
