Role Summary
We are seeking a highly organised and proactive Executive Assistant based in Darwin to support our Managing Director & CEO. This is a fixed-term contract opportunity with potential for permanency for a candidate who excels in managing competing demands, demonstrating discretion, and providing exceptional executive support in a dynamic environment.
Key Responsibilities
- Provide comprehensive administrative and operational assistance to the Managing Director & CEO to ensure smooth daily operations.
- Manage the MD & CEO’s schedule, prioritising meetings, stakeholder engagement, and executive obligations effectively.
- Prepare precise agendas, minutes, reports, and correspondence, ensuring timely follow-up and delivery.
- Serve as a liaison between the MD & CEO and various stakeholders including Board members, government officials, and industry partners.
- Coordinate events, sponsorships, and corporate functions including planning, logistics, and financial oversight.
- Arrange domestic and international travel plans, including itineraries, accommodations, and expense management.
- Handle legal and compliance tasks such as managing official documents, licenses, certifications, and contractual communications.
- Maintain organised records, filing, and document control systems to ensure data accessibility and currency.
- Support financial processes including invoice handling, expense reconciliation, and reporting.
- Manage sensitive and confidential personal and business matters with utmost professionalism.
- Coordinate personal engagements of the MD & CEO alongside business activities for seamless alignment.
- Provide additional cross-functional support across executive and organisational initiatives to uphold continuity and responsiveness.
Candidate Profile
- Proven experience as an Executive Assistant or senior administrative professional supporting top-level executives.
- Strong organisational skills with the ability to multitask, prioritise, and manage time efficiently.
- Excellent communication capabilities with confidence engaging senior stakeholders, government bodies, and partners.
- High professionalism and discretion, adept at handling sensitive information securely.
- Proficient with Microsoft 365 Suite including Word, Excel, PowerPoint, and SharePoint plus other business systems.
- Attention to detail, producing accurate, high-calibre work consistently.
- Sound judgement and proactivity in seeking clarity and asking insightful questions amid ambiguous situations.
- Ability to work independently while also collaborating effectively within a team environment.
- Competence in coordinating complex events, travel, and executive logistics.
