In this role, you will be a dependable partner to leadership, helping executives stay organized, well-prepared, and focused on the organization’s mission.

Key Responsibilities

  • Write, revise, and manage executive communications, strategic documents, agendas, reports, and meeting packets with a high level of accuracy.
  • Build meeting agendas, document meeting notes in detail, monitor action items, and support follow-through after meetings.
  • Assist the OSIS Board of Directors with meeting logistics, document preparation, and general administrative support.
  • Plan executive travel, conferences, company events, and offsite meetings.
  • Work with teams across the organization to collect information and prepare clear, accurate materials for leadership.
  • Act as the main point of contact for office vendors, building services, office supplies, and facilities-related coordination.
  • Help support internal culture programs, employee events, and broader organizational initiatives.

Requirements

  • High school diploma is required; an Associate’s degree or Bachelor’s degree is preferred.
  • At least 5 years of experience in administrative support or executive assistance.
  • Advanced Microsoft Office proficiency, including PowerPoint for executive and board presentations, Word for professional documents, Outlook for calendar and meeting management, and Excel for organizing data and reporting.
  • Strong written and spoken communication skills.
  • Excellent planning, time management, and multitasking ability.
  • Comfort handling confidential and sensitive information with professionalism and discretion.
  • Prior experience supporting senior leaders, executives, or board members is preferred.
  • Strong attention to detail and the ability to work independently while managing several priorities at once.
