Job Summary
We are searching for a seasoned Document Controller to join our Program Management Office (PMO) team in Riyadh on a large, multidisciplinary infrastructure project. This position is client-side and requires hands-on engagement to manage, track, and oversee project documents from various stakeholders including PMCMs, designers, contractors, and internal teams. Ensuring that all information is precise, traceable, compliant, and audit-ready is critical to support reliable reporting and informed decision-making.
Key Responsibilities
- Register, monitor, manage, and circulate all project-related documents such as drawings, submittals, correspondence, RFIs, and reports.
- Enforce compliance with established document control protocols, naming standards, and distribution frameworks.
- Maintain rigorous control over document revisions, versions, and statuses.
- Oversee daily operations of Electronic Document Management Systems (EDMS) including platforms like Aconex, Unifier, SharePoint, and Primavera PCM.
- Track submission deadlines, review processes, and approval workflows under PMO governance.
- Identify and follow up on overdue documentation, initiating escalations when necessary.
- Conduct routine audits to verify document completeness, accuracy, and readiness for audits.
- Assist with archiving, project handover, and closure in line with contractual stipulations.
- Serve as the main liaison for document control between PMO, PMCMs, designers, and contractors.
- Collaborate with planning, cost, commercial, and technical teams to ensure consistency among documentation, schedules, and baselines.
- Lead inductions on system use and procedural briefings for PMCMs and contractors.
- Keep detailed document registers, logs, and tracking tools up to date.
- Generate regular reports outlining document statuses and compliance metrics for PMO leadership.
- Support miscellaneous requests from clients and PMO related to document tracking and record management.
Required Qualifications and Experience
- Bachelor’s degree in Engineering, Construction Management, or a related field is preferred.
- At least 10 years of experience in document control or information management on major infrastructure or construction projects.
- Familiarity with PMC, PMCM, or client-side PMO settings.
- Proficient with EDMS platforms such as Aconex, Primavera PCM/Unifier, SharePoint or equivalents.
- Experience working within Saudi Arabia or Gulf Cooperation Council (GCC) project environments.
