Job Purpose

The Contract Manager will be responsible for supporting team coordination, managing vendor contracts, enforcing compliance with regulations and contracts, engaging stakeholders, maintaining documentation, and contributing to risk management initiatives to protect organizational interests and ensure seamless project execution.

Responsibilities

  • Assist in defining team objectives by gathering feedback from members and aligning tasks with their expertise and project demands.
  • Coordinate departmental schedules and communication to facilitate smooth inter-team collaboration under leadership guidance.
  • Support vendor contract processes by collecting data, drafting initial contract documents, and verifying proposals align with project requirements.
  • Maintain vendor relationships by monitoring contract deadlines, tracking performance, and escalating issues when necessary.
  • Ensure contract terms compliance by overseeing timelines, budgets, and quality benchmarks and reporting deviations.
  • Collaborate with legal, finance, and procurement departments to implement contract modifications effectively.
  • Act as liaison for routine project communications and update stakeholders regularly, escalating complex matters appropriately.
  • Implement communication strategies, prepare meeting materials, and manage updates through digital platforms to keep stakeholders informed.
  • Organize and maintain key project records, including contracts, reports, and communications for team accessibility.
  • Compile preliminary progress summaries highlighting milestones and challenges for leadership review.
  • Develop Standard Operating Procedures alongside senior personnel to align with organizational standards.
  • Assist in identifying potential risks through assessment of timelines, vendor performance, and team outputs and flag concerns to leadership.
  • Contribute data and support contingency planning sessions ensuring proper documentation of adjustments.

Key Stakeholders

Internal: Project Coordination Lead, Project Teams, TC, HR & Admin, PMAG, Legal, Quality, IT, Procurement, Finance, Operations teams.
External: Vendors, Suppliers, Contractors, Clients, Logistics Partners, Compliance Auditors.

Qualifications and Experience

  • Bachelor’s degree in Engineering (Civil, Mechanical, Electrical, or Renewable Energy) or related technical discipline.
  • Master’s degree in Business Administration, Project Management, or a related area is preferred.
  • Certification in contract management or procurement (such as CIPS or CMP) is advantageous.
  • At least 5-7 years in project coordination/management focusing on contract compliance and multi-team coordination.
  • Proven track record managing vendor relations, negotiating contracts, and ensuring compliance with schedules and budgets.
  • Experience in renewable energy, construction, or similar industrial sectors is preferred.
  • Strong communication skills with experience liaising with clients, vendors, and internal departments.
