About the Role
Our client specializes in building AI infrastructure for the physical environment, deploying interactive AI agents and associated hardware within high-traffic locations such as hotels, retail flagship stores, convention centers, and stadiums. As the company expands its operations nationally, it seeks a proactive Business Operations Manager to lead the operational processes that convert signed agreements into deployed, billed, and supported installations. This pivotal position reports directly to the founding team and involves establishing the core procedures and systems that underpin company operations, with growth potential into a team leadership role and an eventual Head of Operations career path.
Key Responsibilities
- Carefully review, annotate, and monitor customer contracts (covering SaaS and hardware rental agreements), partner master service agreements (MSAs), and vendor contracts, identifying potential risks and involving legal or founders when necessary.
- Oversee the entire contract-to-cash cycle, including invoicing clients, tracking payments, managing collections, and reconciling financials to contract stipulations and rental durations.
- Maintain compliance with multi-state sales tax regulations related to hardware rentals and installations, handling vendor registration, nexus identification, tax collection, and timely filing.
- Coordinate comprehensive hardware logistics following contract execution, encompassing provisioning, shipping, scheduling installations, and managing returns or deinstallations.
- Supervise warehouse operations by tracking inventory, tagging assets, and monitoring the condition of rental equipment.
- Manage relationships with freight carriers, oversee shipping timelines, and resolve issues such as delivery delays and damaged goods claims.
- Handle daily administrative operations including office management, vendor coordination, and onboarding logistics, serving as the central operational contact for the team.
Candidate Requirements
- At least three years of experience in operations, business operations, or logistics, ideally within startups, hardware industries, or other dynamic, resource-limited environments.
- Ability to interpret and analyze contracts with careful attention to details such as terms, deadlines, and numerical data.
- Practical experience with invoicing and basic finance or accounting processes; familiarity with sales tax compliance is advantageous.
- Demonstrated experience managing physical logistics, shipping coordination, or inventory and warehouse operations.
- Highly organized and self-motivated with the capability to create and implement processes from the ground up.
- Excellent communication skills to collaborate effectively with sales teams, finance, company founders, and external partners.

Compensation and Benefits
The compensation package for this role ranges from a base salary of $120,000 to $150,000 annually, supplemented by bonuses and stock options. The final package depends on multiple factors including education, experience, location, job scope, and certifications.
