Key Responsibilities
- Compile and maintain weekly lists for outbound airwaybills.
- Facilitate airline bookings through the Cubeforall system for both scheduled and ad-hoc shipments, ensuring follow-up on space allocations.
- Create manual master airwaybills (MAWB) on a weekly basis.
- Manage vendors' ECC and standard counter bookings weekly.
- Generate outbound check-off lists for upcoming weeks.
- Distribute outbound MAWB maintenance and check-off lists to Operations teams including Hub, DM, and BC.
- Conduct daily segregation and audit of outbound MAWBs, identify discrepancies, and prepare utilization records by agents.
- Retrieve and organize outbound MAWBs from Friday to Sunday by flight.
- Collect and sort export control forms by date from Hub Operations.
- Reconcile manifest data for pieces and weights against MAWB and control forms.
- Update outbound/inbound check-off lists manually and input data into systems.
- Perform month-end filing of physical documentation.
- Submit Agent and Airline invoices to the GBS team after approval from the Head of Department.
- Manage, record, and distribute yellow and black container seals to Operations and Security.
- Prepare green (commercial) and yellow (UPS Browntail) loader control forms for exports.
- Handle documentation tasks including preparing MAWBs, export control forms, pre-alerts, and coordinating with Airfreight Terminals.
- Prepare booking advisories for import volume retrievals.
- Carry out additional duties as assigned.
Candidate Requirements
- Possesses at least GCE 'N' / 'O' Levels or ITE Certificate.
- Has a minimum of two years' relevant work experience in logistics or related fields.
- Proficient in verbal and written English communication.
- Skilled in computer use and Microsoft Office applications including Excel (with Pivot tables, VLOOKUP), Word, and PowerPoint.
- Demonstrates flexibility and adaptability in work tasks.
- Willing to undergo a background and criminal record check due to the security-sensitive nature of the role.
