Role Overview
We are looking for a highly organized and proactive Administrative Associate to provide dedicated assistance to our senior leadership team. This position is vital in supporting leadership effectiveness through managing daily operations, coordinating logistics, and ensuring smooth interactions with both internal and external stakeholders. The ideal candidate thrives in a fast-paced environment, is detail-focused, and adaptable to quickly changing priorities. This role provides valuable exposure to senior leaders, fosters cross-functional relationships, and offers an opportunity to contribute significantly to a high-performing team.
Key Responsibilities
- Maintain a confidential and responsive partnership with the executive leadership team.
- Coordinate and manage logistics for departmental meetings and conferences.
- Prepare materials and presentations for team gatherings.
- Organize and manage calendars, scheduling appointments efficiently.
- Arrange travel plans for senior leaders.
- Oversee site visitor management.
- Serve as the liaison point for internal and external clients and vendors.
- Support tracking and maintenance of departmental expenses.
- Assist in training and provide peer coaching.
- Offer backup administrative support during colleagues' time off.
- Provide onsite support for visiting Principals.
- Collaborate proactively with the Admin Supervisor to take on extra responsibilities benefiting broader departments.
- Engage in special projects and fulfill additional duties as assigned.
Qualifications and Skills
- At least two years of administrative or secretarial experience, preferably within medium to large corporate departments.
- High school diploma or an equivalent blend of education and experience; Associate's or Bachelor's degree preferred.
- Excellent organization, time management, and prioritization capabilities.
- Strong attention to detail and commitment to follow-through.
- Capacity to juggle multiple priorities and adjust to shifting business needs.
- Effective interpersonal and communication skills at all organizational levels.
- Proven ability to handle sensitive and confidential matters with discretion.
